Why Buyers Prefer a Trusted Supplier Over Direct Factory Contact
Sometimes, you don't really understand the value of your work until a customer tells you they still want to work through you.
Recently, a European customer was looking for a product that was not something we normally supplied.
The customer had found the factory information on the product packaging, so I contacted the factory directly.
The factory told me that their headquarters was in Denmark and that customers in the European market were handled by their European head office directly.
At that point, I thought:
This is easy. I can give the information to my customer and let them contact the European headquarter directly.
I was quite busy at that time, so honestly, I was also happy to let them handle it themselves.
But the customer replied:
“Holly, I still want you to help me communicate. I only want to deal with you.”
That surprised me a little.
The situation became quite interesting.
I was in China.
The factory contact was in Denmark.
The customer was in Germany.
So I was communicating with a Danish contact, clarifying the details, and then explaining the information to the German customer.
It sounds like extra work.
But it also made me think about what a supplier really provides.
The Product Is Only One Part
When buyers work with an overseas supplier, the product is obviously important.
But there is also everything around the product.
Someone needs to understand what the customer actually needs.
Someone needs to ask the factory the right questions.
Someone needs to check whether the factory's answer really matches the customer's requirement.
And when something is not clear, someone needs to go back and ask again.
This becomes even more important when the customer wants to develop something new.
They may not know the factory.
They may not know how the factory normally works.
They may not know which details need to be confirmed before production.
If they already have a supplier they trust, it can be much easier to start from there.
Trust Can Continue Beyond One Product
This is probably the part I found most interesting.
The customer already had the factory information.
There was nothing stopping them from contacting the factory directly.
But they still preferred to work through me.
That told me that the relationship was not only about the products we had supplied before.
It was also about trust.
When a customer has worked with you for some time, they already know how you communicate, how you follow up, and how you handle details.
So when they need something new, they may prefer to ask you first.
Not because you can do everything yourself.
And not because you should replace their own purchasing team.
Simply because they already know who they are dealing with.
A Supplier Can Become Part of the Customer's Sourcing Process
I sometimes think about this from the buyer's side.
If a company wants to manage many overseas suppliers directly, someone on their side needs to spend time communicating, checking details, following production and solving problems.
It is not the same role.
But a good supplier can take away some of this daily work and make the process easier.
There is also a practical advantage.
We are working in the same country as many of the factories we cooperate with. We can communicate with them directly and follow up when something needs to be clarified.
The customer does not always need to know which person at the factory to contact, what question to ask, or how to follow up.
They can simply come back to the person they already trust.
For me, this is one part of the value of a long-term supplier relationship.
Just Do Your Part Well
I don't think a supplier needs to constantly prove how valuable they are.
There is no need to say:
“We can do everything for you.”
Real business is usually much simpler.
- Understand the requirement.
- Tell the customer when something changes.
And when a customer needs something new, try to help if you can.
Sometimes, the customer will show you the value of that relationship themselves.
For me, this was one of those moments.
A long-term supplier relationship is not only about buying the same product again. Sometimes, it is about knowing who you can turn to when you need something new.
